Getting Started
If you're plans are under way and you would like to schedule your event at River Trail Station, we'd first like to thank you for your decision to host your event with us. We understand that there is a good selection of event venues from which to choose, and we will do evrything possible to help you make sure your event a success - and worth doing again!
Getting started, we ask that you read and familiarize yourself with the rental terms of agreement and then provide the required scheduling information. Once we receive this information, we will contact you by phone to discuss your event and field any questions and considerations you may have. At that time (and assuming availability) we can secure your event date with a credit card payment over the phone, or we can also arrange for your deposit to made in person.
Please note that no date will be guaranteed until a full reservation fee has been paid for the specific date. We will be happy to check on a specific date, confirm availability and note your intent to make a reservation, but we cannot hold the date nor will we attempt to contact you in the event of another party coming forward with a paid reservation.
Rental Agreement Terms
A signed rental agreement and $200 reservation fee is required at the time of reservation. Of this, $150 will be applied to the rental amount and $50 will be applied to a cleaning deposit.
The cleaning deposit will be refunded within 3 business days following the rental period if River Trail Station, at its sole discretion, determines that the party room policies were adhered to during occupancy and no additional clean-up or maintenance was required as a result of Renter's Occupancy.
The rental fee balance is due in full 14 days prior to the reservation date in order to confirm scheduled event. If the balance is not received in full by this time, the event space will be made available to other interested parties. If the event is scheduled to take place within 14 days of the reservation, the full rental fee is due at the time of the reservation. For your convenience, payment may be made by check, money order or credit card (Visa/MasterCard/Discover).
The Renter is responsible for all items required for conducting the party or specified event, refreshments, serving ware, paper products, games, entertainment, etc. The Renter is also responsible for set up and clean-up.
The Renter must be present for the duration of the event and is responsible
for the behavior of the party guests.
Children must be supervised at all times. There must be (1) adult present for every 10 children.
All reservation and rental fees are non-refundable. However, they can be applied toward a future event if scheduled within three months of the original event.
